1. Your Session

1.1 We recommend arriving no earlier than 5 minutes before your session start time, as we often run back-to-back bookings and can’t accommodate early arrivals. If you’d like extra prep time with your guests there are plenty of nice coffee shops nearby – Hardware is our favourite!

1.2 We suggest using the first 10-15 minutes of your session to get comfortable and settled in before recording. This time is crucial for you to relax, adjust, and make any necessary changes to the studio setup, ensuring you deliver your best possible content!

1.3 If you have multiple guests, we recommend they arrive together. This not only minimises disruptions when entering and exiting but also creates a great opportunity for your guests to network and enjoy the experience together.

1.4 As we often have back-to-back sessions, your producer may give you a 10-minute warning before the end of your session, so you can wrap up without rushing. Please note that if your session runs over by more than 15 minutes, you’ll be billed in 30-minute increments. To avoid extra charges, we recommend planning ahead.

1.5 As well as making sure you sound and look great, your producer will also handle any refreshments or set changes during your session, so please allow time in your schedule for these adjustments.

2. Post-production

We strive to make podcasting effortless for our clients by providing standard podcast post-production services with every session.

2.1 Our standard podcast post-production includes:

  • Multi-camera switching for dynamic visual content
  • Colour correction and white balance to ensure visual consistency
  • Editing to remove (a reasonable number of) re-takes, pauses, or interruptions that may naturally occur during a typical podcast recording
  • A basic audio cleanup to remove (a reasonable number of) unwanted sounds like coughs, sniffles, or background noise
  • Pro audio mixing such as compression, equalisation, noise removal, de-essing, and limiting ensuring clear and balanced audio.
  • Pro audio mastering to ensure compliance with industry loudness standards.
  • Integration of your brand assets, such as intros, outros, ads, logos, and music.

2.2 Additional Editing Requests

Our standard podcast post-production is designed explicitly for podcast-style recordings, which typically involve continuous conversation, interviews, or storytelling with minimal retakes or scripted content. Should your recording require significant editing beyond the scope of our standard podcast post-production (e.g., an excessive number of retakes, extended pauses, or non-podcast video content with line-by-line sentence reads), additional charges may apply.

If your project requires non-standard editing, we’ll discuss this with you before proceeding.

2.3 Non-Standard Editing or Video Production

If your recording resembles more of a structured video production—such as scripted content, YouTube-style videos, or productions with frequent cuts, re-takes, or line-by-line reads—this may not fall under our standard podcast post-production. In such cases, we may classify this as video production, which could require additional time and resources.

3. Podcast Delivery

3.1 Our standard turnaround time for post-production is 5 working days from the recording date.

3.2 If you require expedited delivery, we offer an express service for an additional 25% of the session fee. This must be agreed upon prior to the recording.

3.3 For data security and confidentiality reasons, we’ll only deliver your content directly to the primary contact listed on the booking. If you’d like us to send them to someone else, we’ll need written permission from that contact to ensure everything is secure.

4. Content Revisions

At Liverpool Podcast Studios, we aim for 100% client satisfaction, which is why we include a 14-day content revision period with up to 2 rounds of revisions. Please review the following terms and conditions for requesting changes to your content:

4.1 Revision Period

  • We offer a 14-day revision window from the date you receive your final files, as an opportunity to request any tweaks or adjustments.
  • If you miss this 14-day period, we’re still happy to help, but a late revision fee of £25 + VAT may apply if the data is still accessible.
  • Please note that due to data retention limits, revisions may not be possible after the revision period, so be sure to review your content promptly!

4.2 What Constitutes a Revision?

  • A revision is a simple edit or adjustment that could have been addressed during the recording or initial edit. This includes trimming sections, adjusting sound, or minor changes to visuals.
  • We allow a reasonable number of revisions, but if the requests become excessive or significantly alter the original project scope, additional editing fees may apply.

4.3 Requesting a Revision

  • For clarity, please submit your revision requests in writing. If you prefer sending a voice note, no problem—just follow up with a written version to ensure everything is clear.
  • To make the process smooth and efficient, we ask that all revision requests include specific timestamps or clear details. General or vague requests (e.g., “remove all ‘umms’” or “cut out every time I say X word”) will not be accepted without further clarification.

4.4 Turnaround Time

  • Once we receive your revision request, we aim to complete revisions within 3 working days.
  • If the request is unclear or missing details, the 3-day period will start once the correct information is provided.

5. Cancellations & Rescheduling

5.1 For podcast sessions shorter than a 4 hours, you are entitled to a full refund or full reallocation of your session if you provide at least 3 working days’ notice before the scheduled session. If you cancel or request to move your session with less than 3 working days’ notice, a 25% session fee will be charged.

5.2 For half-day (4 hours) or full-day bookings, you must provide at least 5 working days’ notice to receive a full refund or reallocation of your session. If you cancel or request to reschedule within 5 working days, a 25% session fee will be charged.

5.3 For cancellations or rescheduling requests made within 1 working day, a 50% session fee will apply

5.4 In the event of a no-show without prior notice, the full session fee will be charged. This is because we’ve already set up the studio and assigned a producer specifically for your session.

6. Data retention policy

6.1 Liverpool Podcast Studios maintains a Data Retention Policy that governs the storage and handling of any data, including but not limited to podcast recordings, session files, and client information. The Client acknowledges and agrees to abide by the terms of the Data Retention Policy.

6.2 The Client understands that Liverpool Podcast Studios will retain data for a specified period (14 days). The Client is responsible for downloading and keeping copies of any required content for their records within the retention period.

6.3 By making their booking, the Client acknowledges their awareness of and agreement to Liverpool Podcast Studios’s Data Retention Policy. The Client also acknowledges that Liverpool Podcast Studios will handle their data in accordance with applicable data protection and privacy laws, and shall not be liable for any loss or deletion of session files beyond the specified retention period.

7. External Sounds

7.1 Despite Liverpool Podcast Studios’s use of sophisticated soundproofing and noise removal tools, Liverpool Podcast Studios shall not be responsible for any external sounds beyond its control. This includes, but is not limited to, sirens, fire alarms, or occasional sounds within the building where recording occurs.

7.2 We recommend turning off your mobile phones and removing any chewing gum before recording (easiest way to lose your listeners!)

8. Disclaimers

8.1 Liverpool Podcast Studios shall not be responsible for any cars or personal belongings brought onto or left on the premises during the client’s sessions. Clients are advised to take appropriate precautions to secure their personal belongings.

9. Promotional Usage

9.1 Liverpool Podcast Studios reserves the right to use any content produced for the Client, including but not limited to images and video, for its own marketing and promotional purposes. This may include showcasing the Client’s podcast as part of Liverpool Podcast Studios’ portfolio or promotional materials. The Client grants Liverpool Podcast Studios a non-exclusive, royalty-free license to use such content for promotional purposes, without further compensation to the Client.

9.2 During sessions, Liverpool Podcast Studios may also take behind-the-scenes photos or videos for use in our marketing. By attending the session, the Client consents to this usage.

9.3 The Client may withdraw consent for this at any time by notifying us in writing, and we will cease using any new material for promotional purposes going forward.

10. Licensing and rights

10.1 The Client acknowledges and agrees that any third-party content, including images, video, and music, edited into the podcast, is the sole responsibility of the Client in terms of licensing and rights. The Client affirms that they own the necessary rights, licenses, and permissions for the use of such third-party content in their podcast. Liverpool Podcast Studios shall not be liable for any copyright infringement or legal issues arising from the use of third-party content.

11. Personal Belongings in the Studio

11.1 Clients on Monthly Production Plans may store personal items like large podcast signs, books, and branded mugs in the studio for convenience.

11.2 By storing items, clients consent to others using them as props during their sessions or for studio marketing.

11.3 While we take reasonable care of stored items, Liverpool Podcast Studios is not responsible for any damage or wear and tear.

11.4 We may ask clients to collect their items if necessary, such as for studio maintenance or relocation. Clients must collect their items within a reasonable time.

11.5 If a client downgrades from their Monthly Production Plan, all stored items must be collected by the end of their plan period. Clients will be notified via email, and be given a grace period of 7 days after the end of the period, after which uncollected items may be disposed of.
